How your information is used when you contact the practice or book a conversation.
Who is responsible
Martina Bartolomucci is the data controller for coaching enquiries and appointments. For privacy questions, rights requests or complaints, contact privacy@martinabartolomucci.com. This notice covers martinabartolomucci.com and the practice’s enquiries and appointments.
Information and purposes
Email enquiries include your address and the information you choose to share. Booking information can include your name, email, appointment time, time zone and answers you provide to Zoom. These details are used to respond and arrange your requested conversation. Hosting providers also process technical connection and security information, such as IP addresses and request details, to deliver and protect the website. Please avoid sensitive personal information in an initial enquiry.
Lawful bases
Requests relating to a coaching agreement are handled to take steps at your request before a contract. General correspondence and website security rely on legitimate interests in responding to enquiries and operating a secure service. Google Analytics is used on the basis of your consent. Optional appearance storage is used only after you enable it; you can withdraw that choice through Cookie preferences. Applicable legal obligations may require retention of some records.
Providers and external booking
The website at martinabartolomucci.com is hosted by Infomaniak. Proton Mail is used for email, Zoom Scheduler for bookings and Google Calendar for appointments and Google Analytics for optional website statistics. These services process the information needed to provide hosting, correspondence and scheduling. When you choose to book, Zoom’s booking calendar loads on this website from Zoom’s servers; no Google calendar is embedded here. The links below explain the providers’ privacy practices.
Information you choose to provide
You can browse without making an enquiry or booking. To respond or arrange an appointment, the practice needs the relevant contact and scheduling details. If necessary details are not provided, it may not be possible to reply or complete the booking. There are no solely automated decisions with legal or similarly significant effects.
Retention
For enquiries, the relevant criteria are whether your request and any agreed follow-up are complete. For booking records, the criteria are whether the appointment and related administration are complete. Records may still be needed to meet a specific legal obligation or to establish, exercise or defend legal claims. For analytics, the retention criteria are the time needed to compare recent website usage and to assess improvements to navigation and booking journeys. Cookie lifetime is separate from Google’s retention of event-level data and aggregate reports; the applicable period depends on the property settings and type of report. These criteria do not set a fixed deletion date across every provider. Contact privacy@martinabartolomucci.com about the period or criteria for your record or to request deletion.
International processing
Proton Mail, Google Calendar, Google Analytics, Zoom and Infomaniak publish information about where they process data and the safeguards they use for international transfers. The applicable safeguards depend on the service, account terms and settings. Their privacy information is linked below. Contact privacy@martinabartolomucci.com to ask about the safeguards relevant to your information and how to obtain a copy.
Your rights
Depending on the processing and circumstances, you may request access, correction, deletion, restriction or portability of your personal data. You can also withdraw any consent you have given; withdrawal does not affect processing that was lawful before withdrawal. Legal exceptions may apply.
Your right to object
You have the right to object to processing based on legitimate interests for reasons relating to your particular situation. Explain your objection to privacy@martinabartolomucci.com so the practice can assess it and explain the outcome.
Requests and deletion
Send a rights or deletion request to privacy@martinabartolomucci.com, or raise it when communicating with the practice. You do not need to use a special form. The practice normally responds without undue delay and within one month; if a lawful extension is needed, you will be told within the initial response period. Only information necessary to verify your identity will be requested where needed. Deletion covers relevant systems and recipients, subject to legal exceptions. Backups may expire on a different schedule; any retained data and restrictions on its use will be explained. Cancelling an appointment is separate from asking for deletion of personal data.
Privacy complaints
You can complain directly to Martina at privacy@martinabartolomucci.com. The practice will acknowledge a data protection complaint within 30 days, investigate without undue delay, keep you informed and explain the outcome. You can also complain to the UK Information Commissioner’s Office (ICO), using the link below, or to another competent data protection authority where applicable.
Website analytics
With your consent, this website uses Google Analytics 4 to understand visits and interactions with booking and contact buttons. Analytics cookies distinguish browsers and sessions, and Google processes technical information such as browser and device details and approximate location. The site sends page categories, language and button placement, without names, email addresses, coaching notes or booking details in its event payloads. Analytics does not confirm that a booking was completed. The tag is not loaded before you accept. Advertising features and Google Signals are disabled. You can refuse or withdraw through Cookie preferences.
